Does the system serve the entire enterprise? Government Response is a unique and affordable way for all departments to collaborate on resolution of citizen inquiries and complaints.
Can the system integrate the creation of responses (outgoing communications) inside the system to allow for easy distribution of responses to one or many constituents via postal mail, e-mail or other electronic and non-electronic distribution methods? GWW uses a system of ‘form’ letters that may be personalized through a full menu of merge fields that correspond to constituent data. Outgoing communication is seamless – users simply use a drop down menu to choose a letter for an individual constituent. They may also create a custom defined group and send a ‘mass mailing’ or mass email to the group. Offices may also opt to purchase a module that will allow them to send mass faxes through the system. GWW will also household mailings.
Can the system track all communications (both incoming and outgoing) in a client-manageable database with the ability to: report on status, route communications within offices, and maintain accurate records of constituent data? GWW contains a highly sophisticated database that tracks constituent information, maintains records, routes communications to staff and generates reports. All outbound correspondence is saved in the database in PDF format – including all letters and emails – and associated with a particular contact in the system. Inbound correspondence and notes are similarly attached into workflow for a particular contact. Status reports are included with each system and they are highly customizable. The program contains mail reports as well as individual constituent reports. The HOME PAGE for each user also lists all of their open workflow/cases or communications, (as well as ‘projects’). A staff member simply clicks on the contact name and will be taken directly into the workflow for that constituent.
Can the system Receive and record communications from constituents (individuals and groups) via postal mail, electronic mail (e-mail), facsimile and other methods? GWW is designed specifically for elected officials to communicate with their constituencies. It receives and codes all types of communication into the system through an inbound log and then work is assigned to the appropriate staff member(s) for review and response. A full menu of workflow options allow staff to add notes of oral communication, as well as to attach documents in workflow. Additionally, emails are received directly into the system via the pop mail server. Each email shows subject, sender, time and date information, and content of email. The email may then be assigned to staff or merged into a “batch” to which a user will subsequently send a mass mailing.

The Government Wide Web™ is a powerful system that integrates web browser technology, web server technology and database technology into custom intranet
networked software for entire municipalities. The system is designed to be modular, providing the ultimate financial and implementation flexibility for officials in their quest to modernize government and streamline administrative functions.
The basis of the Government Wide Web is a centralized portal which provides the gateway for all of your departmental programs. It will enable your municipality to
share useful data, communicate among staff members, access documents and software applications utilizing your standard web browser. The Government Wide Web operates behind a sophisticated firewall, and utilizes the most secure operating system in the world to ensure the integrity of your data and applications.
Our software is as easy to utilize as pointing and clicking on the internet. This provides a tremendous advantage to government agencies which may lack the resources available for ongoing training for staff to use complex computer programs.
Can the system capture existing data? GWW has a built-in module to import all types of data, and is delivered READY for use.
Can the system provide security of operations based on role and level of authority? Systems Administrators may assign user levels to staff members based on their authority. For example, some users will have delete ability and some will not, some will have access to administrative features, and most staff members will not. The program also permits the ability to allow certain staff members to enter private notes or workflow in the system – and that particular user level is also pre-assigned.
Can the system perform and interoperate with other standard desktop applications or operating systems? GWW operates in all desktop environments because it is intranet based. Its web-based format would make it compatible with Macintosh or Windows, or any future operating systems that utilizes web browser technology. Users simply access the GWW stand-alone server from their desktops through ANY web browser. Please note that our program operates over the intranet – which is a highly secure and contained operating environment. While remote access is available through a Secure Socket Layer (SSL) over the internet, most offices utilize the system from a server located within their facilities.
Can the system deliver correspondence to local office printers that communicate with Microsoft compatible operating systems (Windows 2000 and higher)? GWW is designed to work with ANY printer, including those that are compatible with Microsoft Windows. Finalized letters are converted into PDF format and may be printed locally or sent via email to the printing facility, or through a secure file transfer link.
Can the system maintain an archive of all communications received, as well as track issues and trends? GWW archives all communications – both incoming and outbound – into the system and associates it to individual constituents, as well as a system of codes. A comprehensive search mechanism permits users to locate any range of information associated with constituents, including a search by notes and letters sent, as well as affiliation codes, legislation codes and issue codes. The system also generates full color charts that depict trends in the community.
